Master Data Governance Workbench consists of various Master Data Workbenches in support of Master Data Configuration and Management. 

Master Data Governance Workbench

​

Master Data Governances Workbench consist of various Master Data Governance tools including Task List Workbench, Technical Object Workbench, Bill of Material Workbench and Data Checker.

Each of these solutions are available as a standalone solution.

 

Technical Object Workbench

 

Collaborit’s Technical Object Workbench governs and controls the creation of and changes to Technical Objects. This includes Functional Locations and Equipment using your predefined business rules.

 

Key Features:

​

The need for accurate and complete master data is well understood, but it is a significant challenge to achieve this in practice.

With the Technical Object Workbench, you can define business rules such as naming conventions, allowed field values based on specified criteria (e.g. values of other fields), and structure logic for example: the last three characters of a Functional Location can only be one of a specified list, depending on its Category or the value of the last three characters of its superior Functional Location.

Authorised users can create a change request by adding draft records or making draft changes to existing Functional Locations or Equipment. During this time, adherence or violations of the predefined business rules are indicated.

The change request is sent for review and approval to a master data controller and only after approval, are the new objects created or changes to existing records applied to the active versions of the Functional Locations and/or Equipment.

The solution can also be used for auditing existing master data where it will indicate all violations of the defined business rules.

A structured approach and highly governed processes control the creation of and changes to technical objects. Validation of Functional Locations and Equipment take place before they are created or changed in the active version. This approach entails the auditing of compliance to structure rules and conventions, while end-users can create and maintain Functional Locations and Equipment. Master Data Administrators are empowered to ensure correctness before the records are included in the active structure. This approach also entails built-in approval process for Functional Location and Equipment structure changes using workflows, while relevant error and warning reports are issued.

Creating and editing of the Technical Object Structure is enabled through an easy to use Intuitive User Interface. Business rules can be customised at a Functional Location and Equipment Category level, while Functional Locations are created and maintained in a tree structure display to visually confirm the correctness before committing to the active version. This interface guides the user and together with the built-in business rules, ensures correctness of Functional Location labels, and enables mass creation of new Functional Locations and Equipment from different categories before sending it for validation and approval. The importing of new Functional Locations and Equipment using Microsoft Excel before sending for validation and approval, is possible.

Task List Workbench

​

Collaborit’s Task List Workbench allows you to view and update multiple Task Lists in a single screen, with drag-and-drop functionality using Work Order information.

​

Key Features:

​

Creating Task Lists is time consuming and requires a disciplined approach to ensure sustained integrity of the Task List content.  Unwanted creation and/or duplication of Task Lists can easily occur if the process is not controlled.

SAP Standard and other third-party solutions permit for the creation of Task Lists directly from within the Work Order. Collaborit, however does not prescribe to this method. That is because we believe that the creation, structuring and maintenance of Task Lists should be done under controlled circumstances by a master data controller who should apply best practices and company standards.

With the Task List Workbench, you can log requests from within the Work Order for the updating of Task List content. This is then processed by a master data controller.  The master data controller can view all the logged requests.

When the requests are processed, all related Task Lists and Work Order detail are displayed in a single screen where the Task Lists can be changed, or new Task Lists can be created. The entire Work Order is visible including header, operations, long text, components, services and PRTs which are used to create or change Task Lists with drag-and-drop functionality.

We are currently in the process of adding the below functionality which will be made available in the next version of our solution:

Auto Log: When Work Orders are created and the related Objects (Functional Location, Equipment, BOMs, Catalogue Profiles) do not have a Task List, a request will automatically be logged for consideration by the master data controller.

Auto Suggest: On the creation of a reactive Work Order the Task List Workbench will automatically search and display all relevant and related Task Lists which the user can then choose to incorporate into the Work Order.

 

Bill of Material Workbench

 

Enjoy the ease of being able to view, create and update multiple Bills of Material (BOMs) in a single screen with a drag-and-drop functionality using Component lists from Work Orders.

The master data controller can view every single logged request. When the requests are processed, all related BOMs and Work Order Components are displayed in a single screen where the BOMs can be changed/or new BOMs created using the drag-and-drop functionality.

We are currently in the process of adding the below functionality which will be made available in the next version of our solution:

​

Auto Log 1: When Components are added to a Work Order and the components are not part of existing BOMs related to the Technical Object, a request will automatically be logged for processing by the master data controller.

Auto Log 2: When Material Masters in SAP MM are flagged for deletion or inactivated, the BOM Workbench will search for all BOMs and Task Lists where the specific material is used. It will then automatically log a request for the master data controller to process.
